3. Booking Terms
3.1 Confirmation & Payment
- A 50% non-refundable deposit secures your booking.
- Full payment is due 7 days before the event.
- Bookings made within 7 days require full payment upfront.
- Invoices unpaid by the due date may result in cancellation.
3.2 Setup & Access
- Setup can take 1–3 hours depending on package size.
- Please ensure clean, clear, and accessible event space.
- Notify us of any parking restrictions – failure to do so may result in fines being added to your invoice.
- We reserve the right to photograph the setup for promotional purposes unless otherwise requested in writing.
4. Delivery & Travel
- Travel fees may apply outside our standard coverage area.
- Tolls, congestion charges, or parking costs may be added.
- We offer delivery, setup, and collection as standard.
5. Outdoor Events
- Outdoor setups are permitted only in safe, dry conditions.
- We reserve the right to cancel or amend outdoor setups in bad weather.
- Outdoor events require a refundable deposit and must be on flat, clean ground.
6. Hire Terms
6.1 General Hire Conditions
- All hire items remain the property of Occasional Moments.
- The hirer is responsible for items from delivery until collection.
- A refundable damage deposit may apply.
- Items must be returned in original condition; charges apply for loss or damage.
6.2 Soft Play Hire
- For ages 0–5 only, with adult supervision required.
- No food, drinks, shoes, sharp objects or face paint allowed.
- Outdoor use allowed only in dry weather on suitable surfaces.
7. Cancellations & Refunds
- Deposits are non-refundable.
- If cancelled:
– 21+ days before event: deposit retained.
– 14–21 days: 75% of fee due.
– Within 7 days: full fee due.
- Reschedules are considered once and subject to availability.
8. Liability
- We are not responsible for:
– Delays due to venue access or parking issues.
– Damage caused by guests or venue staff.
– Injuries caused by misuse of equipment.
- We carry full Public Liability Insurance.
9. Photography & Marketing
- We may use photos/videos of your event for our portfolio or social media.
- Please inform us in writing if you prefer not to be featured.
10. Force Majeure
We are not liable for failure to fulfil services due to circumstances beyond our control, such as:
- Extreme weather
- Illness
- Accidents
- Pandemics
- Transport disruptions
